This is a full-time, permanent position at Stanford Salary Grade H ($64,500 - $120,900, depending on experience and qualifications). 

The person in the position must:

Primary responsibilities will involve managing administrative duties, events, logistical contact, and on-site supervision for activities at JRBP’s classrooms and 1200 acres of outdoor laboratory space, which are used for a broad spectrum of classes, tours, meetings, retreats, and related activities. Because events sometimes occur on weekends or evenings, there will be some flexibility in the ASA’s work hours. Events management will at times be complex, for example, taking the lead on organizing and managing a community open house that attracts up to 4000 people. Events management will also include scheduling and helping to organize numerous events such as meetings, retreats, and tours which may require catering and other logistics by a variety of local, national and international users. Organizing tours may include hiking on the preserve’s 10 miles of trails.

The program manager will support the Executive and Faculty Directors to maintain a complex calendar schedule and assist with budgeting, grant preparation and reporting, and keeping a diverse set of projects on schedule.

Additional duties include:

  • serving as a key administrative liaison between JRBP and other units on campus and as a general point of contact for routine information about the Preserve;
  • supervising other administrative personnel and student helpers and volunteers;
  • working with the Preserve Directors to develop the yearly budget, project costs, and take care of data entry, bill payments, etc. related to the yearly budget cycle;
  • ensuring adequate financial reporting (such as entering expenses in Oracle and reconciliations);
  • helping with strategic planning and related implementation;
  • analyzing data and creating reports from/for various Preserve databases;
  • developing efficient protocols for and managing our small library, mailing list, community database, equipment, iSpace, and Chemtracker inventories;
  • routine additions to our web page (news items, announcements, minor updates, etc.); 
  • handling vehicle registration and scheduling;
  • and helping the JRBP staff with specific tasks as needed.
